How we handle your information, protect student records and respond to privacy requests.

1. Who this policy covers

This policy explains how KSA Learning Hub handles personal information in connection with this website, WhatsApp enquiries, admissions, learning services and student or administrator accounts. It applies to visitors, prospective students, enrolled students and parents or guardians.

In this policy, “KSA”, “we” and “our” refer to the KSA Learning Hub team at the centre address below. Third-party services have their own privacy policies. This policy does not treat simply visiting the website as consent to unrelated marketing.

2. Information we handle

  • Enquiries: your name, phone number, email if provided, interested course, enquiry source, messages, notes, follow-up dates and enquiry status.
  • Student and admission records: student ID, name, contact details, address, parent or guardian names, course, batch, joining date and enrolment status.
  • Documents and identifiers, where provided: educational marksheets, Aadhaar number and APAAR/APAR identifier recorded for admission or student administration. These are not required for a general website enquiry. Ask the centre why an identifier is requested and whether an alternative or masked copy is sufficient before sharing it.
  • Learning and fee administration: attendance, related notes, fee amounts, discounts, payment dates, payment mode, transaction reference, receipts, balances and accounting corrections.
  • Account and technical information: account email, authentication/session information, browser or device details, IP address and service logs that our hosting and authentication providers may process for delivery, security and troubleshooting.
  • Optional media: photos, videos or testimonials that you or a parent/guardian authorise for the stated purpose.

Do not send passwords, OTPs, full card details, unrelated identity documents or sensitive personal information through an enquiry message. Website fee records are administrative records; the current website does not provide an online card checkout.

3. How WhatsApp enquiries work

The contact form prepares a WhatsApp message using the details you enter. When you open WhatsApp, those details are passed to WhatsApp to prepare the message. Review it there; KSA receives the enquiry when you send it. WhatsApp is a separate service operated by Meta and processes information under its own terms and privacy policy.

KSA staff may record the enquiry in our administration system to respond, follow up and track admission progress. A WhatsApp enquiry does not automatically create a student account or confirm admission.

4. Why we use information

  • Respond to questions, explain programs and follow up on an enquiry.
  • Process admissions, manage courses and batches, provide learning support and communicate essential class or account updates.
  • Maintain attendance, student documents, fees and receipts; resolve accounting queries and disputes.
  • Authenticate accounts, restrict administrative access, prevent misuse and keep services working.
  • Handle complaints, privacy requests and legal or recordkeeping obligations.

Where consent is required, we seek it for the relevant purpose. Promotional messaging and publicity use of student media require a separate choice; an admission or enquiry is not blanket permission for either. You can ask us to stop promotional messages without losing access to essential service communications.

5. Sharing and service providers

Relevant information may be accessed by authorised KSA personnel and providers supporting the stated purposes. The website currently uses Cloudflare Pages for hosting and delivery, Supabase for authentication, database and document storage, WhatsApp for enquiries, and an embedded Google Maps service on the contact page. Loading a map or following an external link may send technical information to that provider. These services may process information outside India under their own infrastructure and policies.

We do not sell personal information. We may share information when required by applicable law, a valid legal process, or to address fraud, security incidents or a dispute. We limit sharing to what is reasonably needed for the purpose. Public notices and gallery content are intended for public viewing; private student and fee records are not intended to be published.

6. Cookies, browser storage and security

Authentication uses browser storage to maintain login sessions. Student and administrator pages also use session storage to cache profile or administrative information and improve loading. Hosting and embedded third-party services may use cookies or similar technology under their own policies. The current website code does not include a dedicated advertising or analytics tracker.

Signing out and clearing browser site data helps remove locally stored account information. Avoid shared devices for administrative work, keep passwords private and sign out after use. Blocking storage can affect login or portal functions.

We use authentication and access controls to protect records. No website, device or transmission method can guarantee absolute security. Report suspected account misuse or unintended disclosure promptly using the contact details below. Where legally required, affected people and relevant authorities will be notified of a personal-data breach.

7. Retention and deletion

We retain information for as long as reasonably needed for the purpose for which it was collected, including admissions, delivery of learning services, follow-up, accounting, dispute resolution and applicable legal obligations. Retention needs differ between an enquiry, an enrolled student’s documents and a fee receipt.

When information is no longer needed, we delete it or anonymise it, subject to required records and backup cycles. A deletion request may not immediately remove lawful accounting records, evidence needed for a dispute or copies in provider backups. We will explain relevant limits when responding.

8. Students under 18

A parent or legal guardian should be involved in admissions, permissions and account use for a student under 18. Where required by applicable law, we obtain verifiable parental consent before processing a child’s information. A child’s information is used for the relevant learning and administrative purpose, not for targeted advertising or unrelated profiling.

Public use of a child’s identifiable photos, videos or testimonials requires separate parent/guardian permission for that purpose. Parents or guardians can contact us about a child’s information or request that publicity permission be withdrawn. Please tell us if a child’s information was submitted without appropriate permission so we can review it.

9. Your choices and privacy requests

You can ask what information we hold about you, request correction of inaccurate information, request deletion where appropriate, withdraw consent for consent-based processing, or stop promotional communications. Where applicable law provides additional rights, including nomination or formal grievance remedies, those rights remain available.

Contact us below, describe your request and provide enough information to locate the relevant enquiry or student record. We may request proportionate identity or parent/guardian verification to protect the record. Do not send a password or OTP. Withdrawing information necessary to provide a service may limit that service; we will explain the impact. We respond within time limits required by applicable law and explain any lawful retention or refusal.

If a privacy concern is unresolved, you retain access to the competent authority or other remedies available under applicable law. This policy does not replace those rights.

10. Contact and policy updates

For privacy questions, corrections, deletion requests or complaints, contact the KSA Learning Hub team and identify your message as a “Privacy request”.

We may update this policy when services, data practices or applicable requirements change. The date above identifies this version. Material changes will be communicated as appropriate; fresh consent will be requested where required. Please also read our Terms & Conditions.
